The shift FAQ

Questions before service

Short answers for common operational decisions. Apply them alongside your own procedures and the rules where you operate.

What should I do when someone calls out before service?

Identify the missing skills and time window, seek suitable cover through the approved process, and reassess capacity. Adjust stations, bookings or service scope if safe coverage cannot be maintained. Do not rely on untrained staff or skipped required breaks.

How far ahead should we publish the rota?

Follow applicable law, contracts and agreements first. Then set a reliable publication rhythm that gives staff useful notice and a clear correction route. There is no single notice period suitable for every jurisdiction and operation.

Can two employees swap shifts without approval?

Use a defined approval process. Check competence, working-time limits, overtime implications and any relevant restrictions before updating the official schedule and confirming the change with both employees.

What belongs in a pre-service briefing?

Cover changed conditions: station coverage, significant bookings, unavailable items, equipment restrictions and the escalation lead. Confirm important actions with the people who own them.

What makes a closing handover useful?

Record the current state, unfinished actions, named owners and review points. Highlight anything affecting safe reopening and keep confidential information in its restricted record.

Does a signed checklist prove someone is trained?

No. A signature records a step in the process, but competence needs appropriate observation and practice. Distinguish introduction, supervised practice and independent sign-off.

How should booking changes reach the kitchen?

Assign an owner to update the current booking record and notify the relevant floor and pass leads. Use direct confirmation for consequential changes and follow the approved safety process for allergen information.

Do we need another app?

Identify the process failure first. Test whether clearer ownership and one current record solve it. If a tool is needed, assess permissions, accessibility, exports, fallback arrangements and the effort required to maintain it.

Is this website legal or food-safety advice?

No. This is independent general information. Check current local rules and obtain qualified advice for employment, privacy, food safety and other regulated decisions.
